Job Description

ProArch is seeking a detail-oriented and proactive Procurement Specialist with 3–4 years of experience in procurement, vendor management, and quotation management. The ideal candidate will play a key role in supporting sales and procurement operations by managing vendor relationships, preparing competitive quotations, coordinating order fulfillment, and ensuring seamless communication between Sales, Procurement, and external suppliers. This role requires strong analytical skills, commercial acumen, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

1. Requirement Evaluation & Quoting

  • Review and validate requirement requests received from the Sales team.
  • Identify appropriate vendors/OEMs based on client needs.
  • Prepare and share accurate quotations aligned with vendor pricing and internal margin guidelines.
  • Ensure pricing competitiveness while maintaining approved margins depending on client and deal strategy.

2. Vendor Coordination

  • Engage with authorized vendors/distributors to obtain pricing, availability, and timelines.
  • Maintain vendor relationships and ensure timely responses.

3. Sales Support

  • Work closely with the Sales team to refine quotations and address client queries.
  • Provide timely revisions based on deal changes or client feedback.
  • Support sales during deal closure with accurate and competitive pricing.

4. Order Handover to Procurement

  • Upon deal closure (PO win), raise internal requests and create task workflows.
  • Ensure all required documentation (client PO, quote, approvals, margin details) is shared with Procurement.
  • Maintain clear communication to avoid delays in order placement.

5. Order Tracking & Coordination

  • Track all confirmed orders from placement through delivery.
  • Coordinate with vendors to ensure timely fulfillment.

6. Data Management & Reporting

  • Maintain accurate records of quotes, orders, pricing, margins, and delivery timelines.

Requirements

  • Bachelor's Degree in Business Administration, Commerce, Supply Chain Management, Procurement, or a related discipline.
  • 3–4 years of experience in procurement, sourcing, quotation management, sales support, or supply chain operations.
  • Strong experience in preparing quotations, pricing analysis, and vendor coordination.
  • Knowledge of procurement processes, purchasing workflows, and order management practices.
  • Ability to evaluate vendor pricing, negotiate commercial terms, and maintain target margins.
  • Experience working with distributors, OEMs, and technology vendors is highly preferred.
  • Strong analytical and problem-solving skills with attention to detail.
  • Proficiency in Microsoft Excel and other business productivity tools.
  • Excellent communication and stakeholder management skills.
  • Ability to manage multiple priorities and meet tight deadlines in a fast-paced environment.
