Come be Artefact!</p> </div> <p><strong>What you will be doing:<br></strong></p> <p>The Accounting Specialist supports the day-to-day financial operations of Artefact’s U.S. business, ensuring accurate bookkeeping, timely billing, proper expense categorization, and smooth coordination between Everwin (project management system) and QuickBooks (U.S. accounting). This role is foundational to month-end close, invoicing, accounts receivable, payroll allocations, and intercompany processes with global finance teams.</p> <p><strong>Key Responsibilities:<br>Accounts Receivable &amp; Billing<br></strong></p> <ul> <li style="font-weight: 400;">Support monthly and milestone-based invoicing in Everwin</li> <li style="font-weight: 400;">Verify billing data matches Statement of Work terms, Salesforce details, and project codes</li> <li style="font-weight: 400;">Track unbilled revenue, billing schedules, and invoice status</li> <li style="font-weight: 400;">Maintain up-to-date AR aging reports and assist with collections follow-up</li> </ul> <p><strong>Accounts Payable &amp; Expense Management</strong></p> <ul> <li style="font-weight: 400;">Review and categorize business expenses from corporate cards, salary reports, Everwin expense reports, and the bank</li> <li style="font-weight: 400;">Support vendor invoice entry, coding, and payment scheduling</li> <li style="font-weight: 400;">Assist in maintaining accurate overhead, software, and travel cost allocation</li> </ul> <p><strong>Month-End Close Support</strong></p> <ul> <li style="font-weight: 400;">Support monthly reconciliations (bank, credit cards, payroll allocations, vendor balances)</li> <li style="font-weight: 400;">Validate actuals from Everwin vs finance system and flag discrepancies</li> <li style="font-weight: 400;">Ensure accurate posting of revenue and overhead within QuickBooks</li> </ul> <p><strong>Project Accounting &amp; Tracking</strong></p> <ul> <li style="font-weight: 400;">Compare actual hours logged vs contracted SOW hours</li> <li style="font-weight: 400;">Flag gaps in time tracking, misallocated roles, or inconsistencies affecting margins</li> <li style="font-weight: 400;">Assist in margin analysis and project status reporting</li> </ul> <p><strong>Intercompany Coordination</strong></p> <ul> <li style="font-weight: 400;">Assist with intercompany invoicing</li> <li style="font-weight: 400;">Support reconciliation of intercompany balances and loan schedules</li> </ul> <p><strong>System Administration &amp; Process Improvement</strong></p> <ul> <li style="font-weight: 400;">Help maintain financial records across QuickBooks, Everwin, and Salesforce</li> <li style="font-weight: 400;">Identify operational inefficiencies and propose process improvements.</li> <li style="font-weight: 400;">Support documentation of SOPs for billing, expense management, and reconciliation workflows</li> <li style="font-weight: 400;">Assist with implementation of new tools or automation initiatives</li> </ul> <p>&nbsp;</p> <p><strong>What we are looking for:</strong></p> <ul> <li style="font-weight: 400;">Bachelor’s degree in Accounting, Finance, or related field preferred</li> <li style="font-weight: 400;">1 - 2 years of accounting, AR/AP, or finance operations experience</li> <li style="font-weight: 400;">Strong Excel or Google Sheets skills (pivot tables, VLOOKUP, basic formulas)</li> <li style="font-weight: 400;">Detail-oriented, analytical, and able to manage multiple deadlines</li> <li style="font-weight: 400;">Comfortable working in a fast-paced environment with cross-border teams</li> <li style="font-weight: 400;">Excellent communication skills and ability to work with non-finance stakeholders</li> <li style="font-weight: 400;"><strong data-start="202" data-end="221">Fluent English:</strong> You are comfortable communicating in English, as it is essential for working in our international environment.</li> </ul> <p><strong>What We Offer:</strong></p> <ul> <li>Meal/Transportation Allowance (VR/VT)</li> <li>Free Office (work from home or anywhere you want!)</li> <li>Gympass</li> <li>Insurance: Life, Health, and Dental</li> <li>Bi-monthly Meetings (our “Get Together” where we meet to be together, with workshops, lectures, training, and a happy hour!)</li> <li>Woba (you can book coworking spaces anywhere you want!)</li> <li>Semi-annual evaluations (with opportunities for promotion)</li> </ul> <p><strong><br>Why you should join us</strong></p> <ul> <li><strong>Artefact is the place to be:&nbsp;</strong>come and build the future of marketing</li> <li><strong>Progress:</strong>&nbsp;every day offers new challenges and new opportunities to learn</li> <li><strong>Culture:</strong>&nbsp;join the best team you could ever imagine</li> <li><strong>Entrepreneurship:&nbsp;</strong>you will be joining a team of driven entrepreneurs.
