Overview
The Administrative Assistant will provide professional and courteous assistance to clients, visitors, and staff, while supporting administrative and operational functions across the firm to ensure the efficient management of the reception area and general office activities. This position requires strong organization, attention to detail, and effective communication. The ideal candidate will have excellent client service, professionalism and discretion, and the ability to work in a dynamic work environment.
Responsibilities
- Welcome and assist clients, visitors, and vendors in a professional manner.
- Answer and direct phone calls, emails, and messages to the appropriate departments.
- Manage the reception area and maintain a professional office appearance.
- Coordinate meeting rooms, appointments, and visitor arrangements.
- Provide general administrative support, filing, and document control.
- Handle incoming and outgoing mail, courier services, and correspondence.
- Assist with reports, forms, and administrative documentation.
- Monitor office supplies and coordinate replenishment when needed.
- Provide operational support to different departments as required.
- Maintain strict confidentiality regarding firm and client information.
Qualifications
- High school diploma or technical degree in Administration or related field required.
- Minimum of one (1) year of experience in reception or administrative support roles required.
- Professional appearance and customer service orientation.
- Proficiency in Microsoft Office and digital tools.
- Strong verbal and written communication skills.
- Ability to multitask and stay organized in a fast-paced environment.
