About the role

Summary:

Better Living Health and Community Services has an opening for Administrative Assistant. This position is responsible for administrative support, operational functions and delivering client service.

This position reports to Manager, Business Operations and Governance


To be eligible to participate in Canada Summer Jobs, Candidates Must:

  • Be between 15 and 30 years of age (inclusive) at the start of employment;
  • Be a Canadian citizen, permanent resident or person to whom refugee protection has been conferred under the Immigrant and Refugee Protection Act* and;
  • Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.


The successful candidate for this position must possess the following qualifications:

  • This position is funded by the Government of Canada, under the Canada Summer Jobs (CSJ) Program. To be eligible for any CSJ position, the candidate must be between 15 and 30 years of age (inclusive) at the start of employment; and a Canadian Citizen, permanent resident, or person on whom refugee protection has been conferred under the Immigration and Refugee Protection Act.
  • Enrollment in or graduation from a post-secondary program (diploma or degree) in Business or Office Administration or a related field.
  • Successful completion of Vulnerable Sector Screening within one month of employment.


The successful candidate for this position must be able to:

  • Strong problem solving and communication skills.
  • Experience working with seniors and persons with disabilities is an asset.
  • Demonstrate strong written and verbal communication skills


KEY POSITION RESPONSIBILITIES

Position Specific

  • Ensures smooth operation by performing administrative tasks, assisting with operations, and participating in community development projects
  • Assist with office supplies and clerical duties, including developing and maintaining inventory systems
  • Responsibilities include filing, data entry, event coordination, and supporting meetings to ensure smooth operations.
  • Coordination and supervision of gardening volunteers and planning of gardening activities
  • Demonstrate ability to work individually and collaboratively as part of a dynamic team
  • Provide backup coverage and support for Office Administration functions
  • Collaborate with community partners and external stakeholders as required
  • Assist with screening visitors and staff as needed
  • Manage multiple administrative responsibilities through strong organizational, prioritization and time management skills
  • Work in a supportive manner with Clients, Caregivers, and Volunteers in order to effectively respond to the needs of Clients, using excellent customer service and interpersonal skills


KEY ORGANIZATIONAL RESPONSIBILITIES

  • Provide services in keeping with the organization’s Mission, Vision and Beliefs and Resident Declaration of Values.
  • Adhere to the principles and expectations outlined in the Code of Conduct.
  • Adhere to the Personal Health Information Protection Act (PHIPA 2010) as outlined in the organization privacy policies and procedures.
  • Perform the functions of job description in compliance with the Health and Safety practices of the organization and in accordance with the provincial Occupational Health and Safety Act.
  • Participate in the continuous quality improvement activities of the organization in order to advance a culture of quality and support ongoing compliance with CARF Accreditation standards.


Salary: $18.60 per hour


Note: This position is funded for 35 hours in total. Hours of work and duration of position will be determined based on the needs of the department.
