<p class="isSelectedEnd">EVG Specialty Network is seeking a highly organized, detail-oriented <strong>Administrative & Logistics Coordinator</strong> to support key initiatives across Talent Acquisition, Marketing, and Operations while providing on-site administrative support at Friendship Hospital for Animals in NW Washington, DC.</p>
<p class="isSelectedEnd">This is a dynamic, hands-on role ideal for someone who thrives on keeping projects moving, managing logistics, coordinating events, and ensuring exceptional experiences for candidates, employees, and hospital leadership. You'll play a critical role in improving operational efficiency across our growing network while supporting meaningful work that advances veterinary medicine.</p>
<h2>What You'll Do</h2>
<h3>Recruiting Events & Conference Logistics</h3>

<li>Coordinate logistics for conferences, career fairs, recruiting events, and industry meetings</li>
<li>Prepare, pack, ship, track, and manage event materials and collateral</li>
<li>Maintain inventory of recruiting supplies and promotional items</li>
<li>Manage pre- and post-event logistics, including shipping, returns, and storage</li>
<li>Provide backup support for urgent or last-minute shipment needs</li>
<li>Assist with post-event outreach and lead management activities</li>
</ul>
<h3>Marketing Collateral & Inventory Management</h3>

<li>Oversee inventory of recruiting and marketing materials</li>
<li>Coordinate ordering, storage, and distribution of branded collateral and promotional products</li>
<li>Partner with Marketing to ensure materials remain current, on-brand, and aligned with company standards</li>
</ul>
<h3>Candidate Experience & New Hire Gifting</h3>

<li>Coordinate travel, scheduling, and on-site visit logistics for candidates as part of our white-glove recruiting experience</li>
<li>Manage travel arrangements and reimbursement processes</li>
<li>Coordinate welcome gifts and onboarding materials for veterinarians, hospital leaders, and home office team members</li>
<li>Oversee ordering, packaging, and delivery of recognition and welcome gifts</li>
</ul>
<h3>Employee Recognition & Engagement</h3>

<li>Track employee milestones, certifications, anniversaries, and achievements</li>
<li>Coordinate recognition gifts, cards, and communications</li>
<li>Partner with Marketing to support internal and external recognition initiatives</li>
</ul>
<h3>Cross-Functional Operations Support</h3>

<li>Collaborate closely with Talent Acquisition, Marketing, Operations, and hospital leadership teams</li>
<li>Support operational compliance requirements, facility licensing, and regulatory submissions</li>
<li>Work alongside the Chief of Staff to prioritize projects and manage competing priorities</li>
<li>Ensure continuity and coverage for critical logistics functions across teams</li>
</ul>
<h3>On-Site Housing Management</h3>

<li>Coordinate housing reservations and scheduling</li>
<li>Manage cleaning services, supply restocking, and maintenance requests</li>
<li>Partner with facilities and leadership teams to ensure accommodations remain guest-ready</li>
</ul>
<h3>Administrative Support for Hospital Leadership</h3>

<li>Capture and distribute meeting minutes for weekly management meetings</li>
<li>Organize, maintain, and consolidate SOPs into a centralized policies and procedures manual</li>
<li>Support special projects and strategic initiatives as assigned</li>
</ul>
<h2>What We're Looking For</h2>
<h3>Qualifications</h3>
<ul data-spread="false">
<li>2+ years of experience in administrative, logistics, operations, project coordination, or similar roles</li>
<li>Exceptional organizational skills and strong attention to detail</li>
<li>Ability to manage multiple priorities and deadlines simultaneously</li>
<li>Experience coordinating events, shipments, inventory, or logistics preferred</li>
<li>Strong communication and collaboration skills with the ability to work across multiple teams</li>
<li>Proactive, resourceful, and solutions-oriented approach</li>
<li>Comfortable taking ownership of projects and driving them to completion</li>
</ul>
