About the role
<p>The Assistant Property Manager supports the Property Manager(s) and others in managing all aspects of a single property or portfolio of commercial, industrial, or retail properties including marketing, operations, and financial activities.</p>
<p> </p>
<p><strong>Essential Duties and Responsibilities:</strong></p>
<ul>
<li>Ensure services are provided consistent with policies, procedures, regulations, and contractual obligations and standards.</li>
<li>Review and recommend approvals for accurate payment of vendor invoices following the terms of the management agreement, LPC policies, and property management approval authorization limits.</li>
<li>Assist Property Manager(s) in preparing and delivering timely, accurate, and complete monthly reports and budget packages according to client requirements.</li>
<li>Assist in collecting data and/or drafting tenant rent and Common Area Maintenance (CAM) reconciliations or Escalation (OpX) recovery charges.</li>
<li>Assist, and coordinate with, lease administration and accounting on all lease administration activities including lease set up, lease changes, reporting, etc. using various company or client systems.</li>
<li>Assist in coordinating tenant move-ins and move-outs, and "walks-through" spaces with Property Manager(s), tenants, and tenant improvement department; maintain vacant spaces in "tour ready" condition.</li>
<li>Administer and process annual tenant survey.</li>
<li>Respond to tenant needs, ensuring that administrative and building technical staff resolve problems promptly.</li>
<li>Maintain building reports such as leasing activity, building square footage, stacking plans and floor plans, capital expendital/tenant improvement records.</li>
<li>Coordinate contract documents, purchase orders, and other documents related to procuring goods and services at the property; assist in coordinating vendor deliveries and property services.</li>
<li>Assist with bidding activities.</li>
<li>Review tenant billings for accuracy and approval; review aging reports and collections efforts.</li>
<li>Assist in performing regular property inspections; recommend alterations, maintenance, and reconditioning; work with contractors/vendors.</li>
<li>Assist with developing plans, and preparing for, emergency response using company or client formats; ensure resources, supplies, and backups are in place to effectively recover from adverse events; assist in organizing drills and other training.</li>
<li>Contribute through thoughtful and proactive execution of clearly defined duties, methods, and tasks; contribute to team performance through suggestions to improve systems, processes, and procedures.</li>
<li>Assist with client communications; prepare and deliver timely, accurate, and complete reports.</li>
<li>Perform other duties as assigned.</li>

<p><strong>Qualifications</strong>:</p>
<ul>
<li>Bachelor's degree (BA/BS) preferred with 1-2 years of related experience and/or training; or a combination of education and experience; experience with commercial office, retail, and/or industrial properties is highly preferred</li>
<li>Intermediate skills with Microsoft Office Suite required; knowledge of MRI and Kardin preferred.</li>
<li>Ability to effectively communicate verbally and in writing with teammates, leadership team, vendors, tenants, and client employees in a straightforward, professional manner, keeping the appropriate customer(s) informed/updated as needed</li>
<li>Knowledge of financial terms and principles; ability to calculate figures such as percentages, discounts, markups, and/or commissions</li>
<li>Ability to comprehend, analyze, and interpret documents and solve problems involving several options in situations</li>
<li>Intermediate level of analytical and quantitative skills required</li>
<li>Strong organizational skills with an inquisitive and entrepreneurial mindset</li>
<li>Proven track record for delivering excellent internal and external customer service; ability to successfully interact/communicate with tenants/vendors/contractors as well as teammates and leadership team</li>
<li>Must possess the desire to lead and receive instruction on development of leadership skill set</li>
<li>Ability to build consensus in work groups, listen actively, and create mutually beneficial resolutions</li>
<li>Ability to travel daily to assigned properties as necessary</li>
<li>Ability to work after hours, weekends, holidays, and during emergency situations as necessary to meet the needs of the client</li>
<li>Ability to read and write English in order to understand manuals and procedures, and to write reports</li>
</ul>

<p><strong>Physical Requirements:</strong></p>
<p>Ability to sit/stand/walk for long periods of time; manual dexterity to operate a computer keyboard, phone, and other office equipment; eyesight that allows for reading a computer screen, phone screen, reports, etc.; hearing that allows for hearing/understanding spoken words; lifting and carrying up to 20 lbs. NOTE: Some, but not all, of our positions may have an additional requirement to comply with COVID-19 health and safety protocols, including COVID-19 vaccination proof and/or rigorous testing.</p>
