The Role:

We're hiring a Temporary Administrative Assistant to serve as a key point of contact for clients and provide essential administrative support across our firm. This role plays a critical part in creating a positive client experience while ensuring day-to-day office operations run smoothly and efficiently.


You'll work closely with the Office Manager while supporting both the Legal and Sales teams. From welcoming clients and managing incoming documents to coordinating communications and maintaining accurate records, you'll help ensure clients receive timely, professional, and compassionate service throughout their journey with our firm.

WHAT YOU'LL OWN

▸ Client Support & Communication

  • Welcome clients and visitors with professionalism, warmth, and empathy
  • Assist clients with document drop-offs and general inquiries
  • Respond to client communications via phone, email, and text in a timely manner
  • Follow up with clients as needed to gather information or provide updates
  • Help ensure clients receive a positive experience throughout their interactions with the firm



Administrative Support & Office Operations

  • Receive, organize, and process client documents
  • Sort and distribute incoming mail and prepare outgoing packets provided by the Legal Team
  • Maintain accurate client interaction notes and updates within the firm's case management system
  • Prepare and send daily reports detailing office visits, document submissions, and mail processing activity
  • Support day-to-day office operations and administrative projects as needed



WHAT WE'RE LOOKING FOR

  • Bilingual in English and Spanish (written and verbal) — required
  • Availability to work Monday through Friday, 9:00 AM–5:30 PM, and Saturdays, 9:00 AM–2:00 PM
  • Ability to maintain a 40-hour work week, with weekday hours adjusted to accommodate Saturday coverage
  • High School Diploma or equivalent
  • At least 1 year of experience in an administrative, customer service, or similar support role
  • Experience in the legal services industry preferred
  • Excellent verbal and written communication skills
  • Strong interpersonal skills and attention to detail
  • Excellent time management and organizational abilities
  • Strong problem-solving skills and ability to prioritize competing responsibilities
  • Ability to work effectively in a fast-paced environment
  • Proficiency with Google Workspace, Adobe Acrobat, and related software
  • Comfortable learning new systems and technologies
