Key Responsibilities
- Review bid packages and identify compliance-related requirements.
- Organize bid documents, addenda, forms, and supporting materials.
- Create and maintain bid tracking spreadsheets.
- Track bid due dates and internal deadlines.
- Extract required forms from bid documents.
- Prepare compliance checklists for each opportunity.
- Assist with completion of standard bid forms and certifications.
- Gather company documents required for submissions (insurance, registrations, safety documents, etc.).
- Request updated documents from internal departments when needed.
- Coordinate bid bond and cashier's check requests.
- Track receipt of bonds, notarized forms, and other required documents.
- Verify that all required signatures and notarizations are obtained.
- Assist with insurance requirement reviews and COI requests.
- Prepare draft compliance review summaries for management review.
- Maintain organized electronic bid files and records.
- Maintain contractor registrations and compliance databases.
- Support contract and compliance document collection after award.
Skills, Knowledge and Expertise
- Strong attention to detail
- Excellent organizational and time-management skills
- Ability to manage multiple tasks and deadlines simultaneously
- Strong written and verbal communication skills
- Proficiency with Microsoft Office, including Excel, Word, and Outlook
- Ability to review documents for completeness and accuracy
- Ability to work independently and follow established procedures
- Positive attitude and willingness to learn
