Job Summary:
The Corporate Services Assistant – Generation Department supports the efficient functioning of both the Corporate Services and Generation teams by providing administrative, logistical, and operational support. The role ensures effective coordination of departmental activities, including documentation, procurement, employee records, and reporting, while supporting the operational needs of the Generation Department.
Key Responsibilities:
Administrative Support:
- Prepare, organize, and maintain departmental records, reports, and correspondence
- Draft and prepare correspondence for the Generation Department
- Record and prepare minutes for departmental meetings
- Schedule and coordinate meetings, appointments, and departmental activities
- Manage incoming communications and direct them appropriately
- Provide administrative support to Generation operations, ensuring timely documentation and reporting
- Assist with tracking maintenance activities and operational events within the department
- Support coordination between Generation and other corporate departments
- Provide coverage for the Reception and Client Relations Officer as required, including delivering frontline support by professionally greeting and assisting visitors and internal stakeholders to ensure continuity of front-office operations and client service delivery.
- Support the coordination of overseas contractors, including the facilitation of work permits, preparation of immigration documentation, and arrangement of accommodation and related logistics.
Employee Records & Timekeeping
- Prepare attendance records and support timekeeping by monitoring biometric reports and attendance practices.
- Assist with shift rosters and track employee attendance and compliance.
- Prepare overtime documentation for relevant signatures.
Procurement and Vendor Management:
- Assist with procurement processes, including obtaining quotes, requesting purchase orders, and monitoring delivery timelines.
- Maintain records of vendor contracts and service agreements.
- Track inventory and office supplies, ensuring timely restocking.
Compliance and Documentation:
- Ensure company policies and procedures are documented and up to date.
- Assist in preparing compliance reports and supporting documentation for audits or inspections.
- Maintain confidentiality of sensitive corporate information.
Operational Efficiency:
- Monitor and enhance administrative processes for improved efficiency.
- Support special projects, events, or initiatives as directed by the Corporate Services Manager.
- Act as a liaison between departments to facilitate information flow and collaboration.
Qualifications:
Education:
- Associate degree or equivalent in Business Administration, Office Management, or a related field.
Experience:
- 2+ years in an administrative or corporate services role, preferably within the utilities or energy sector.
- Familiarity with procurement, compliance, and facilities management processes.
Skills:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and familiarity with administrative tools or software.
- Attention to detail and problem-solving skills.
- Understanding of corporate operations, particularly in the energy or utilities sector, is an advantage.
- Awareness of health and safety protocols in the workplace.
