Arcadia Financial Group is a growing RIA with a family office model built around tax, legacy, financial planning, and client service. We do complex, multi-generational work — and we do it at a high standard.
We're looking for a Director of Operations who will function as a leadership multiplier: someone who can think strategically alongside our COO, own the operational integration across five departments, and develop an emerging leadership team that is talented but early in their careers.
This is not a process documentation role. It's a judgment role. You'll see problems before they surface, make calls with incomplete information, and take a meaningful portion of operational ownership off the COO's plate so she can focus on firm-level strategy and growth.
You report directly to the COO and oversee our Client Services, Tax, Concierge, Business Operations, and Legal Coordination functions.
Who You Are
The right person for this role has likely run something themselves, served as a right hand to an owner or executive, or managed through significant organizational change. You've learned to think like a business owner because you've had to.
Specifically, you:
- See problems coming and solve them before being asked
- Make confident decisions with incomplete information
- Are comfortable operating in a fast-moving, resource-constrained environment — not a Fortune 500 with institutional scaffolding
- Communicate clearly, hold standards without being harsh, and earn trust quickly
- Bring financial discipline to operational decisions — you think about ROI, not just process
- Are ultimately accountable for ensuring work moves forward — not just identifying issues, but making sure they get resolved and completed
What You'll Own
Leadership & Team Development
- Directly oversee five department heads across Client Services, Tax, Concierge, Business Operations, and Legal Coordination
- Develop your leaders — not just direct them. Coach them to think firm-wide, not just within their department
- Own and run the firm's operating cadence: leadership meetings, team meetings, and execution rhythms
- Build a culture of ownership, accountability, and first-time-right execution
- Be the buffer between day-to-day operational noise and COO-level strategy
Execution & Accountability
- Drive key firm initiatives from planning through completion — you are responsible for ensuring things actually get done
- Ensure priorities are clear and consistently delivered across departments without constant executive involvement
- Identify and eliminate bottlenecks; keep work moving forward
- Own firm-wide SOP development and approval — a significant current priority
- Serve as the primary point of contact for our IT/MSP relationship (transition in progress)
Strategy & Decision Support
- Partner with the COO on priorities, resource allocation, and operational strategy
- Bring data and analysis to decisions — not just instinct
- Build reporting tools that give leadership real visibility into operational health
- Translate firm strategy into executable plans your teams can own
Financial & Operational Oversight
- Maintain visibility into operational budgets, vendor relationships, and resource allocation
- Identify cost-saving opportunities through process improvement and vendor management
- Partner with the firm Controller and COO to align operational decisions with firm profitability and growth
Family Office Integration
- Ensure tax, legacy, and financial planning functions operate cohesively
- Design scalable systems to support complex, multi-generational client relationships
- Serve as the integrator across the firm's family office model
What Success Looks Like — First 90 Days
- The COO is no longer running department team meetings or approving day-to-day operational decisions
- SOP ownership has fully transitioned off the COO's plate
- Stalled projects are moving forward and getting completed
- Department heads are aligned, accountable, and effectively reporting through you
- A clear leadership cadence is installed and running consistently
- Cross-department communication is streamlined — less duplication, fewer gaps
- The firm feels organized and proactive rather than reactive
What This Role Is Not
- This is not a back-office or administrative role
- This is not a passive project management position
- This is not a role that waits for direction
This is a leadership role responsible for driving execution, creating structure, and ensuring Arcadia is consistently moving forward.
Experience & Background
We care more about track record than title history. That said, the ideal candidate brings:
- 5+ years of operational or business leadership experience, ideally in professional services or financial services
- Demonstrated experience managing cross-functional teams or multiple departments
- Strong financial acumen — you can read a budget, spot inefficiencies, and make the case for investment
- Comfort with data and technology — you build reporting tools, you don't wait for someone else to
- A history of operating in environments that required you to build, not just maintain
