About the role
- Front Desk Coordination: Greet clients and visitors warmly, directing them to the appropriate team member.
- Call Management: Answer, screen, and route incoming calls efficiently on a multi-line phone system.
- Administrative Support: Assist agents with scanning, filing, data entry, and assembling policy documents.
- Client Service: Respond to general inquiries, take payments, and help clients with basic requests, such as printing ID cards or certificates.
- Mail & Correspondence: Sort and distribute daily mail, packages, and faxes.
- Office Maintenance: Maintain a clean and organized reception area and monitor office supplies.
- Agency Management System: Utilize the agency management system (e.g. EPIC) to look up client information and update records.
- Regular and reliable attendance.
- Performs other related duties as assigned by management.
- Communicate effectively in-person and otherwise with all coworkers and customers, both during regular business hours and before and after regular business hours, if necessary.
- Knowledge of insurance products and services.
- Knowledge of Microsoft Word, Excel, PowerPoint, Outlook.
- Ability to learn Agency Software.
- Ability to communicate with customers and co-workers in a courteous and professional manner.
- Ability to multi-task and function as a team player.
- Ability to work with accuracy, organization, and attention to detail.
- Ability to learn insurance products.
- 1–3 years of experience in a receptionist, administrative, or customer service role (insurance experience is a plus but not required).
- High school diploma or GED equivalent.
- Ability to learn new technology quickly.
- Patience and empathy when dealing with client inquiries regarding claims or policy changes.
- Experience in a paperless office environment.
- Optional: Willingness to obtain a Property & Casualty insurance license in the future.
