Job Description: The Enrollment Services Representative will play a pivotal role in the recruitment and enrollment process. As the first point of contact for prospective students, the advisor will be responsible for providing accurate information, guidance, and support throughout the admissions process. Working closely with prospective students, families, and other stakeholders, the advisor will serve as an ambassador for the institution, helping to shape a positive and memorable experience for all applicants.

The Enrollment Services representative serves as a key member of the enrollment team and is responsible for guiding prospective students through the admissions process from initial inquiry through enrollment. This role requires a highly motivated, goal-oriented professional who excels at building relationships, managing a high volume of outbound and inbound communications, and helping prospective students make informed educational decisions.

Success in this role is measured through call activity, lead conversion, appointment setting, student engagement, and achievement of monthly enrollment goals.

Essential Duties and Responsibilities

Student Recruitment & Enrollment

  • Respond promptly to prospective student inquiries generated through various marketing channels.
  • Conduct consultative interviews to assess prospective students' educational and career goals.
  • Guide prospective students through the admissions process, including program selection, admissions requirements, and enrollment procedures.
  • Maintain consistent communication with prospects through phone calls, text messages, emails, and virtual meetings.
  • Build rapport and establish trust with prospective students and their families.
  • Schedule and conduct campus tours and information sessions.
  • Collaborate with Financial Aid, Student Services, and Academic departments to support student enrollment.

Call Activity & Lead Management

  • Manage a high-volume lead pipeline and maintain accurate records within the institution's CRM system.
  • Conduct a minimum number of outbound calls daily to prospective students.
  • Execute timely follow-up activities according to established enrollment processes.
  • Maintain consistent contact with prospective students throughout the decision-making process.
  • Ensure all lead activity, communications, and outcomes are documented accurately and timely.
  • Monitor and manage assigned leads to maximize conversion opportunities.

Performance Metrics

  • Meet or exceed established daily, weekly, and monthly call activity goals.
  • Meet or exceed appointment-setting objectives.
  • Maintain required lead contact and follow-up standards.
  • Achieve monthly enrollment targets
  • Consistently maintain conversion rates and productivity standards established by management.
  • Participate in regular performance reviews and enrollment strategy meetings.

Compliance & Professionalism

  • Adhere to all institutional policies, procedures, and ethical admissions standards.
  • Maintain confidentiality of student information.
  • Ensure all admissions activities comply with applicable state, federal, and accrediting regulations.
  • Represent the institution professionally and positively at all times.

Qualifications:

·       Associate’s degree in education, counseling, communications, or related field.

·       Previous experience in admissions, recruitment, student advising, or related fields within higher education.

·       Excellent interpersonal and communication skills, with the ability to engage diverse audiences and build rapport quickly.

·       Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.

·       Proficiency in MS Office suite and CRM software.

·       Commitment to promoting diversity, equity, and inclusion in all aspects of the admissions process.

·       Bilingual preferred, but not necessary.

 

 

Requirements

Qualifications

Required

  • Associate degree required; Bachelor's degree preferred.
  • Bilingual English/Spanish.
  • Minimum of two years of experience in admissions, inside sales, customer service, recruiting, or a related field.
  • Demonstrated success working in a goal-driven environment.
  • Strong communication, relationship-building, and interpersonal skills.
  • Ability to effectively manage multiple priorities and deadlines.
  • Experience working with CRM systems and Microsoft Office applications.

Preferred

  • Higher education admissions experience.
  • Experience recruiting students in nursing, healthcare, allied health, or career-focused education programs.
