About the Role
We are seeking a detail-oriented, proactive Executive Assistant to support business operations by managing business listings, contacting sellers, sending follow-up emails, and handling light accounting tasks. This role requires excellent spoken and written English and prior experience working with accounts payable (AP) and accounts receivable (AR), ideally within an accounting firm environment.
Key Responsibilities
- Monitor and manage online business listings and directories
- Contact business sellers via phone and email with clarity and professionalism
- Draft and send follow-up communications and inquiries
- Support light accounting tasks including AP/AR tracking and reporting
- Maintain accurate records of conversations, transactions, and communications
- Assist with calendar scheduling, basic research, and general executive support tasks
- Communicate regularly with internal teams to ensure alignment and timely execution of tasks

- Fluent English communication (spoken and written) – non-negotiable
- Prior experience as an Executive Assistant or Admin Assistant
- Background in accounting, especially AP and AR (preferably with an accounting firm)
- Proficiency in Google Workspace (Docs, Sheets, Gmail, Calendar)
- Ability to work independently and meet deadlines
- Strong organizational skills and attention to detail
- Comfortable speaking on the phone with business owners/sellers
