As an early-stage company, Helm operates in a fast-moving environment where adaptability, ownership, and strong execution are highly valued.</p>
<p>The company is looking for a highly organized, proactive, and detail-oriented Executive Assistant & Growth Operations Associate who can serve as a trusted partner across executive support, customer outreach, team coordination, and business operations.</p>
<h2><strong>Role Overview</strong></h2>
<p>This role combines executive assistance, business operations, and growth support. You'll work directly with the founder to manage communications, protect time and focus, coordinate key initiatives, and support customer-facing outreach efforts.</p>
<p>The ideal candidate is exceptionally organized, communicates professionally, exercises strong judgment, and thrives in a fast-paced startup environment. You should be comfortable taking ownership, handling sensitive information with discretion, and proactively solving problems before they arise.</p>
<h2><strong>Key Responsibilities</strong></h2>
<h3><strong>Executive Support</strong></h3>
<ul>
<li>Manage the founder's inbox end-to-end, including prioritizing communications, drafting responses, and ensuring important items receive timely attention</li>
<li>Maintain inbox organization and support the goal of consistently reaching inbox-zero</li>
<li>Own calendar management, including scheduling meetings, coordinating across multiple time zones, and protecting focus time</li>
<li>Anticipate scheduling conflicts and proactively resolve issues before they impact priorities</li>
<li>Support travel planning, meeting preparation, and other executive administrative needs as required</li>
</ul>
<h3><strong>LinkedIn & Professional Presence Management</strong></h3>
<ul>
<li>Manage the founder's LinkedIn presence with a high degree of discretion and professionalism</li>
<li>Draft and schedule occasional LinkedIn content aligned with the founder's voice and brand</li>
<li>Manage connection requests and inbound messages</li>
<li>Escalate sensitive communications for review and approval before action</li>
<li>Ensure all external communications maintain a thoughtful and conservative approach</li>
</ul>
<h3><strong>Customer Outreach & Growth Operations</strong></h3>
<ul>
<li>Support outbound business development efforts within the construction sector</li>
<li>Research, identify, and qualify prospective customers and strategic design partners</li>
<li>Draft personalized outreach and follow-up sequences</li>
<li>Maintain CRM accuracy and ensure prospect information remains organized and up to date</li>
<li>Monitor and nurture warm opportunities to prevent promising conversations from going cold</li>
<li>Collaborate closely with the founder to continuously improve outreach effectiveness</li>
</ul>
<h3><strong>Team Coordination & Operations</strong></h3>
<ul>
<li>Act as a central point of coordination across a small, fast-moving team</li>
<li>Track action items, project timelines, and operational priorities</li>
<li>Coordinate internal meetings, team rituals, and company events</li>
<li>Assist with offsite planning, logistics, and team communications</li>
<li>Help ensure cross-functional initiatives stay organized and moving forward</li>
</ul>
<h2><strong>What We're Looking For</strong></h2>
<ul>
<li>3+ years of experience supporting senior executives, founders, or leadership teams</li>
<li>Strong experience in executive assistance, operations, project coordination, or similar roles</li>
<li>Exceptional organizational and time-management skills</li>
<li>Excellent written and verbal English communication skills</li>
<li>Ability to handle confidential information with professionalism and discretion</li>
<li>Experience managing calendars, inboxes, and executive priorities</li>
<li>Comfortable working directly with founders and senior leadership</li>
<li>Experience with CRM platforms and productivity tools such as Google Workspace, Slack, Notion, or similar software</li>
<li>Strong attention to detail and follow-through</li>
<li>Highly proactive, resourceful, and comfortable operating independently in a remote environment</li>
<li>Interest in startups, technology, and customer-facing business operations</li>
</ul>

<li>Working hours: 9:00 AM – 6:00 PM EST</li>
