About the role
- Manage busy calendars across multiple time zones using Google Calendar
- Schedule and confirm internal/external meetings, interviews, and recurring syncs
- Prepare agendas and take notes as needed
- Monitor and organize Gmail inboxes for 4–6 executives
- Flag high-priority emails and draft responses when needed
- Track follow-ups and maintain inbox clarity
- Coordinate domestic and international travel (flights, hotels, ground transport)
- Prepare detailed itineraries for executives
- Arrange lunch meetings, team events, and other logistical needs
- Assist in light project management and task tracking
- Manage document filing systems via Google Drive or Notion
- Coordinate with internal teams via Slack and email
- Follow up with vendors, clients, or team members as needed
Hard Requirements:
- Minimum 2-3 years of executive-level support experience
- Experience supporting multiple executives or founders simultaneously
- Strong organizational skills and high attention to detail
- Proficient in Gmail, Google Calendar, Google Docs, and Slack
- Comfortable working independently and maintaining confidentiality
- Excellent written and verbal English communication skills
- Familiarity with Notion, Zoom, or basic project management tools
- Experience in a tech startup or SaaS environment is a plus
Schedule:
- 40 hours per week
- Monday to Friday
- 9AM–6PM US Pacific Standard Time
Offer and Benefits:
- $5-$6USD/hour
