About the role

Company Overview:

Role:

Key Responsibilities:

  • Manage calendar and schedule
    • Own the CEO’s complex calendar, scheduling appointments and meetings across multiple time zones
    • Coordinate with internal and external contacts to arrange commitments
    • Prioritize and resolve scheduling conflicts, enforcing protected time blocks for deep work and strategic engagement
  • Handle communication with cross-functional teams and external partners
    • Draft and manage correspondence on behalf of the CEO — including emails, Slack, sync requests, and scheduling coordination — with investors, board members, advisors, and strategic partners
    • Act as a liaison between the CEO and other executives, board members, and external partners
    • Screen and prioritize incoming communications
  • Coordinate business meetings and travel
    • Arrange travel itineraries, including transportation, accommodations, and agendas
    • Ensure prep materials are ready in advance of board, executive, and team meetings per the CEO’s review cadence
    • Capture action items from key meetings and drive follow-through across stakeholders
    • Cross-collaborate with other EBPs and EAs to plan offsites and events as we scale
  • Partner with the Office of the CEO
    • Partner with the Chief of Staff on weekly calendar audits, meeting prep cycles, and priority alignment
    • Maintain shared visibility into scheduling changes and commitments via dedicated channels
    • Operate as a trusted extension of the Office of the CEO
  • Help Build the OCEO operating system
    • Identify the highest-leverage workflows to automate or augment with AI, and prototype them with the Chief of Staff
    • Experiment with AI tools and async patterns to make the Office of the CEO more leveraged over time
    • Document and improve repeatable workflows so the operating cadence compounds as the business scales
  • Administrative support
    • Prepare reports, presentations, and other documents
    • Manage and maintain records
    • Oversee and assist with special projects as assigned

Qualifications/Skills:

  • 3+ years of professional experience in a fast-paced, operationally complex environment. Prior EA or executive-support experience is welcome but not required — equivalent experience in operations, recruiting, program management, or startup generalist roles will be considered.
  • Comfort owning complex calendars and high-volume scheduling is required — whether you’ve done it formally in an EA seat or informally as part of another operational role.
  • Genuinely excited about AI tooling and the leverage it creates — and equally clear-eyed about where AI falls short without human judgment, ownership, and taste. You’re an enthusiastic early adopter of tools like Claude, Granola, and Notion, and you have opinions about how to use them well.
  • Proven track record of using AI tools to automate or augment real workflows — not just familiarity with the tools, but specific processes you've materially improved. You can articulate what you built, why it mattered, and where your judgment was still required.
  • Strong instinct for prioritization. You can identify the highest-leverage move in a pile of competing demands and articulate why the others can wait.
  • Exceptional organizational skills with a proven ability to manage multiple priorities under pressure.
  • Strong written and verbal communication skills, with attention to detail. Clarity, conciseness, and professional tone are non-negotiable.
  • High emotional intelligence, discretion, and sound judgment.
  • Fluency in Google Workspace, Slack, Zoom, and other modern productivity tools.
  • Ability to work independently, anticipate needs, and solve problems quickly. When something can be done today, it gets done today.

Nice-to-Haves

  • Previous experience coordinating with a Chief of Staff or within an Office of the CEO structure.
  • Motivated by Ezra’s mission of early cancer detection and the broader vision of helping people live 100 healthy years. You don’t need a health tech background, but you should care about what we’re building.

To be a strong fit, you embody our Core Values:

  • We are innovators. We push the boundaries of what’s possible with the most novel technologies available. We build (or acquire) all mission-critical technology.
  • We do the hard things. We succeed because we do what others are not able or willing to do. Needles in arms. Scans. Hard infrastructure that can’t be easily replaced. The hard stuff is the moat.
  • We are relentless. We take ownership, collaborate, work hard, and never quit. The success of this company depends on how relentless every single person is in pursuit of our mission.
  • We obsess about customers. Member focus beats product focus, which beats competitor focus. Every interaction with Function should leave our members better off than they were before.
  • We focus on quality. We deal with life and death. Quality shows up in everything, from AI to scanning protocols to the way we run this business.
  • We only do 10x. We focus on the highest-impact areas and leave the rest on fire. We are ruthless in prioritizing. We spend energy only on work that adds another zero to our key numbers.
  • We keep raising the bar. We go to bed smarter than when we woke up. We iterate fast because that’s how we learn fast. Mediocrity is the silent killer–work is either excellent or it’s redone.
  • We are data-driven. We make decisions using data and document our thinking in writing. We assume nothing. We question everything. The majority of decisions should be made by the people closest to the problem, not by managers.
  • We communicate directly. Constant, immediate feedback helps us grow faster. The best ideas rise to the top. We reject politics and back-channeling. Say it straight or don’t say it at all, no corporate speak.
  • We lift each other up. We see ourselves as underdogs. We challenge our colleagues to be their best, and we expect the same in return.
  • We keep it fun. We trust and respect our colleagues. We’re building a place where people love showing up to work.
