About the role
Role Duties
- Provide end-to-end administrative support throughout the employee lifecycle, including onboarding, contract changes, offboarding, and reference requests.
- Coordinate and manage Spanish recruitment activities, including:
- Drafting and posting job advertisements across various platforms.
- Taking pro-active steps to attract candidates and encourage applications
- Screening CVs to shortlist suitable candidates.
- Scheduling interviews and managing candidate communications.
- Liaising with hiring managers to ensure a smooth and efficient selection process.
- Work closely with line managers in Alhama supporting them with day-to-day HR issues, and to design and deliver tailored induction programmes for new hires.
- Maintain and update employee records using the HR Information System (HRIS – HiBob), ensuring accuracy, compliance, and confidentiality.
- Assist with the monthly payroll process by preparing and submitting accurate employee data to our external payroll company (e.g., new joiners, leavers, contractual changes, absence data).
- Provide general administrative support to the Alhama office, including document preparation, data entry, and records management.
- Maintain up-to-date knowledge of HR policies, procedures, and employment legislation (attend training sessions), offering first-line advice where appropriate.
- Work collaboratively with the wider HR team to provide and excellent HR service in line with values and strategic priorities, escalating issues or more complex matters when required .
- Demonstrate and uphold the company’s core values in all actions, decisions, and interactions.
Core Competencies
- Previous experience in an administrative role within a HR and Recruitment setting.
- Strong interest in human resources and talent acquisition, with a desire to grow professionally within these fields.
- Knowledge of Spanish Employment Law and regulations or a willingness to learn.
- Excellent attention to detail and high standards of accuracy in all work.
- Proven ability to handle confidential and sensitive information with discretion.
- Fluency in both Spanish and English, with the ability to communicate clearly and professionally in both languages, written and verbal.
- Confident user of Microsoft Office applications, especially Excel, and comfortable learning new systems (e.g., HRIS platforms).
- Strong organisational and time-management skills, with the ability to prioritise tasks effectively and meet deadlines.
- Outstanding interpersonal and communication skills (written and verbal), with a positive and enthusiastic outlook. .
- Proactive, can-do attitude with a willingness to take initiative and support continuous improvement.
- Adaptable and flexible in responding to changing priorities and business needs.
- Demonstrable alignment with the company’s core values in attitude, conduct, and work ethic.
