Role Summary

The IT Project Assistant provides administrative and coordination support to the IT Manager and IT team. This role helps organize project-related tasks, maintain documentation, schedule meetings, and track basic progress updates. The position is focused on assisting and supporting project activities rather than leading or managing projects.



Main Responsibilities

  • Provide administrative support for IT projects.
  • Help organize project timelines, task lists, documentation, budgets, schedules and progress.
  • Update tracking sheets and maintain project files.
  • Schedule meetings, send calendar invitations, prepare agendas, presentations and take minutes when required.
  • Follow up on assigned action items and send reminders.
  • Support communication between IT staff and other departments as instructed by the IT Manager.
  • Assist with organizing vendor information, quotes, and basic documentation.
  • Prepare simple status summaries when requested and identify potential delays.



Required Qualifications

  • Bachelor’s degree (completed or in progress) in Administration, IT, Engineering, or related field.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office or Google Workspace.
  • Ability to follow instructions and manage multiple tasks.
  • Good communication skills in English and Spanish.



Preferred Qualifications

  • Previous experience in an administrative or assistant role.
  • Basic familiarity with software/tools (e.g., Trello, Microsoft Project, BaseCamp).
  • Experience working in an educational environment is a plus.

 Employment Type: Temporary, full-time (possibly 4 months, renewable depending on needs)
