About the role
Job Summary: The Logistics Coordinator is responsible for assisting in the proper management of the warehouse, distribution and replenishment of stock, utilization of Envi, the Company’s Materials Management Information System provider, maintaining inventory and par levels and coordinating transport services to internal teams.
Main Duties and Responsibilities:
- Ensures efficient warehouse operations through collaboration and coordination with other departments.
- Maintains stock levels – ordering supplies, preparing Purchase Orders (PO’s), tracking usage, requisitioning, handling discrepancies, counts, and maintaining space.
- Conducts regular inventory audits and maintains accurate records of stocks and supplies.
- Fills Requisitions sent from various departments and team members. This includes organizing supplies pulled from the warehouse inventory to be distributed to team members.
- Create and disperse inventory counts to team members via email.
- Post Requisition period, creates lists of out-of-stock/low stock to purchase and replenish supplies.
- Assists in the receiving process – verifying items delivered to warehouse, perform quality checks on all incoming items, check to see if correct items received, reasonable expiration dates, soiled boxes, opened sterile boxes, broken seals, receive items in Envi system.
- Assists in facilitating deliveries and distribution throughout the OMC network including requisitions for OMC events.
- Assists Logistics Manager with occasional needs and/or “special projects” that may arise and communicates with Manager with regard to any issues, concerns or challenges within the department.
- Verifies that outgoing deliveries meet company quality standards, and that order slips match and have the appropriate signatures.
- Researches, identifies and presents new ideas to Logistics Manager to improve warehouse operations and department processes.
- Assists in maintaining the warehouse management. This includes proper organization and storage of items, correct labeling of items/shelves and weekly cleaning (sweeping, mopping and dusting) of warehouse space.
- Researches vendors and suppliers for purchasing items globally.
- Ensures proper maintenance of the lift which involves lubricating key components.
- Maintains detailed and accurate work records and manages reports created, updating when necessary.
- Monitors shipments in transit to Tropical Shipping in Florida. Manages shipments for transport to Nassau, obtains required documentation and uploads to Tropical Shipping’s eServices portal, arranges clearing of shipments once arrived in Nassau and schedules delivery of same. Ensures all payments are made to Tropical, Brokerage Company & Bahamas Customs.
- Performs related duties as assigned.
Skills and Qualifications:
- A Bachelor’s degree in business administration, finance or relevant field.
- A minimum of 3 years’ experience in a similar role.
- Solid knowledge of data analysis, inventory management software, and forecasting techniques.
- An analytical mind with strong attention to detail.
- Outstanding organizational and problem-solving skills.
- Excellent communication and leadership abilities.
- Microsoft Office applications (MS Word, Excel, PowerPoint) proficiency.
- Ability to lift items over 35 pounds.
