The Fundraising Officer reports to the Fundraising Manager in ensuring the smooth day-to-day operations of the Fundraising Department through administrative, operational, supporter care, and event coordination support. The role contributes to maintaining a reliable, efficient, and ethical funding base that enables Greenpeace Southeast Asia to achieve its campaign objectives and fundraising targets.


Working closely with the Fundraising Manager, in-house and agency fundraisers, supporters, and internal departments such as Finance, Human Resources, and the Regional Database Team, the Fundraising Officer will be supporting fundraising operations and administration, donor engagement, and logistical coordination.


Duties and Responsibilities:


  • Steer community fundraising on-ground events while maintaining relationships with external partners and vendors to ensure the success of events.
  • Support the effective execution of fundraising operations and supporter engagement activities.
  • Ensure transparency, accountability, and accurate reporting within the fundraising program.
  • Uphold Greenpeace policies, procedures, and supporter care standards.
  • Contribute to achieving fundraising KPIs and operational goals.
  • Assisting with meeting coordination, documentation, and administrative tasks while ensuring accurate reporting and analysis functions are maintained to facilitate effective management of the department.
  • Supporting the planning and execution of team retreats, face-to-face fundraising road trips, fundraising events, and booth setups.
  • Supporting the preparation of fundraising and recruitment materials, operational support and materials coordination for in-house and agency fundraising.
  • Assisting with claims, invoices, Purchase Orders, and coordination with the Finance team on payment-related matters.
  • Work with appropriate members of the Fundraising Team to effectively track task KPIs and operational deliverables 
  • Assist FRM in reporting fundraising performance and KPIs during staff meetings.
  • Liaise with the Regional Database Team on bank information and fundraising operational matters.
  • Collaborate with different departments such as engagement, programmes and campaigns to ensure smooth implementation of fundraising activities.
  • Ensure compliance with Greenpeace policies and internal procedures.
  • Assist Fundraising Manager for coordination with Fundraising agencies, team and external partners.
  • Represent Greenpeace professionally during events and public-facing activities.
  • Support relationship management with supporters and the organisation.
  • Ensure timely execution of fundraising activities and operational tasks.
  • Oversee timely administration, invoice processing, and reporting.
  • Ensure prompt follow-up and communication with supporters, agencies, and internal teams.
  • Support efficient event setup and coordination within agreed timelines.
  • Maintain accurate reporting and analysis functions to support departmental management.
  • Ensure donor records, reports, and administrative tasks are completed and organised accurately.
  • Supporting other fundraising-related tasks and operational needs as required.



Requirements:


Education

  • University graduate of Bachelor’s Degree or Diploma in Marketing or related field 

 

Work Experience

  • Minimum 1–2 years of relevant work experience in administration, operations, fundraising, customer service, or event coordination.
  • Experience managing administrative processes and coordinating events is preferred.
  • Knowledge of working with Microsoft Office applications and Google Workspace will be preferred.
  • Experience working with databases or donor/customer relationship management systems is an advantage.
  • Fluency in English and Bahasa Malaysia; additional languages are an advantage.

  • Proficiency in Microsoft Office, Google Workspace, and digital communication tools.

  • Demonstrates sensitivity to the social, economic, political, and cultural diversity of Southeast Asia.
  • Flexible and adaptable to different working environments, including office-based, field-based, and event settings.
  • Willingness to work occasional evenings, weekends, and travel when required to support fundraising activities and events.
