About the role

 JOB SUMMARY 

The Office Administrator supports daily site and office operations, ensuring a well-organized, efficient, and professional environment. This role is responsible for administrative coordination, logistics support, and maintaining office functionality in a fast-paced construction project setting. 

 

RESPONSIBILITIES 

  • Maintain a clean, organized, and professional office environment always  
  • Receive and manage small deliveries, ensuring proper distribution and tracking  
  • Document and track site slips, records, and administrative paperwork accurately  
  • Coordinate office supplies, monitor inventory levels, and liaise with procurement/buyers as required  
  • Organize catering for meetings, site activities, and team events  
  • Support coordination of team-building activities and site engagement initiatives  
  • Assist with general administrative duties including filing, document control, and record keeping  
  • Provide day-to-day support to site leadership and project teams  
  • Coordinate meeting logistics including room setup, materials, and scheduling support  
  • Act as a point of contact for office-related inquiries and support requests  

 

DESIRED SKILLS, KNOWLEDGE, COMPETENCIES   

  • Previous experience in an administrative or office support role, preferably within a construction or project-based environment  
  • Basic understanding of construction site operations is considered an asset, but not required  
  • Strong organizational skills with the ability to manage multiple priorities  
  • High attention to detail and accuracy in documentation and record keeping  
  • Strong communication skills with the ability to interact effectively with site teams and stakeholders  
  • Proactive and resourceful with a hands-on approach to problem-solving  
  • Ability to work in a fast-paced, dynamic project environment  
  • Proficiency in Microsoft Office (Word, Excel, Outlook)  
  • Reliable, adaptable, and team-oriented with positive attitude  
  • Running small errands as required
  • Having access to a car would be considered an asset
