About the Role
We are looking for a highly organised, proactive Office Administrator to keep our Sliema office running smoothly and support our day-to-day operations & client relations functions. This is a hands-on, trusted role for someone who thrives in a fast-paced environment and enjoys taking ownership of a wide variety of responsibilities.
The successful candidate will work closely with senior leadership, serving as a central coordinator across the business, managing schedules, operations and office infrastructure while serving as a friendly, professional point of contact for everyone who interacts with Prism. This position requires a proactive, service-oriented individual who can manage multiple priorities, communicate effectively with stakeholders, and maintain a well-structured office environment. Because our work involves gaming hardware, the role also includes light technical and equipment support, so comfort around electronics and IT is a real plus.

Key Responsibilities
Executive Support:
- Manage the Managing Director's diary, meetings and travel arrangements;
- Coordinate and support day-to-day business operations and administrative activities;
- Coordinate flights, accommodation, itineraries and business travel logistics;
- Support business decision-making processes by coordinating information, managing expectations, and tracking expenses;
- Prepare meeting agendas, minutes and action points;
- Serve as a primary point of contact for internal and external stakeholders;
- Follow up with department heads and key stakeholders on agreed actions;
- Handle confidential correspondence and documentation;
- Coordinate signatures and approvals across multiple group entities;
- Liaise with auditors, lawyers, banks and external service providers;
- Support regulatory and company administration processes when required.
Office & Facilities Coordination:
- Support the day-to-day administration of office premises;
- Assist with operational, technical, and office infrastructure-related tasks;
- Coordinate suppliers, contractors and service providers;
- Oversee office supplies, stock, deliveries and general facilities requirements;
- Maintain overall office organisation, ensuring the office environment remains tidy, professional and welcoming at all times;
- Assist with company events and internal initiatives.
Requirements
Essentials:
- Minimum 3 years' experience in an Executive Assistant, Personal Assistant or senior administration role;
- Previous experience supporting Director or Managing Director level stakeholders;
- Fluency in English, both written and spoken, Maltese will be considered a benefit;
- Excellent organisational skills with strong attention to detail;
- Professional, confident, and courteous communication skills;
- Ability to handle highly confidential information with discretion;
- Comfortable working across multiple projects and business areas simultaneously;
- Advanced Microsoft Office skills, particularly Powerpoint, Word and Excel;
- Proactive and self-motivated, with the ability to work independently and follow established processes;
- Valid driver's licence is required.
Technical Skills:
Because the role includes some hands-on support for our gaming hardware and office equipment, the following are valued but not essential, and we're happy to provide training:
- Basic to intermediate IT skills: hardware setup, software installation, network connectivity, and general technical support;
- Basic to intermediate knowledge of electrical and electronic systems, including setting up, troubleshooting, and maintaining devices.
Working Hours
Monday to Friday, 9:00 AM - 5:00 PM, fully on-site.
