<h2><strong>About the Role:</strong></h2>
<p>We're looking for a Senior HR Operations & Payroll Specialist to own the full HR operations function in Poland. This is a hands-on, high-ownership role at the heart of the employee lifecycle - from onboarding to offboarding, payroll accuracy to compliance, and everything in between. We’re seeking a highly motivated individual who can help improve and automate our Poland processes and flex to support other European entities (E.g. NL + UK) when required (e.g. holiday coverage, large projects, etc.)</p>
<p><strong> </strong></p>
<h2>Ideal Candidate </h2>
<ul>
<li>At least <strong>5 years</strong> of experience in HR administration and payroll, ideally within an international environment.</li>
<li>Solid understanding of <strong>Polish labor law</strong> regulations, payroll, compensation and benefits.</li>
<li>English proficiency at a minimum B2 level.</li>
<li>Strong google sheets skills, including formulas, pivot tables, and data analysis.</li>
<li>Proactive approach with strong analytical thinking and problem-solving skills.</li>
<li>High attention to detail and accuracy in maintaining records and data.</li>
<li>Proactively identifying improvement opportunities and driving the necessary improvements.</li>
<li>Strong organizational and time management skills, with the ability to prioritize effectively and meet deadlines.</li>
<li>Ability to work independently in a fast-paced, dynamic environment while managing multiple responsibilities.</li>
<li>Strong understanding of data confidentiality and compliance with payroll and labor law requirements.</li>
<li>Experience with BambooHR, Jira, Google Suite, Slack, and Confluence is a plus</li>
</ul>
<h2><strong>Your responsibilities</strong></h2>
<ul>
<li>Own end-to-end HR operations for Poland</li>
<li>Lead the monthly payroll cycle - from data collection and validation to coordination with our external payroll provider - ensuring accuracy every time</li>
<li>Maintain audit-ready payroll records, employee documentation, and compliance with Polish labour law and regulatory requirements</li>
<li>Serve as the primary point of contact for employee queries on HR admin and payroll, providing clear and timely responses (via JIRA)</li>
<li>Administer occupational health processes, including issuing medical examination referrals</li>
<li>Manage sick leave, maternity-related absences, and working time regulations in the system, ensuring compliance and smooth communication with employees and stakeholders</li>
<li>Administer employee benefits across Poland, keeping programmes accurate and up to date</li>
<li>Prepare and maintain country-specific employment templates and documentation in partnership with internal and external legal teams</li>
<li>Run payroll controls and variance analysis to identify and resolve discrepancies before they become issues</li>
<li>Keep BambooHR accurate and up to date — processing employee changes, promotions, transfers, and contract updates with precision</li>
<li>Contribute to HR Operations projects including process improvements, automation initiatives, and system integrations</li>
<li>Partner with cross-functional teams to deliver a consistent, seamless employee experience</li>
