<p>The Program Management team exists to drive tactical efficiency while always keeping the big picture in mind. Members of the Program Management team are the connective tissue between the client-facing front end and the operational backend. We use data to identify the initiatives that will have the largest impacts, and manage our roadmap accordingly. We strive to ensure that Vestwell’s operational teams have the tools they need to provide an exceptional experience for partners and clients while working within optimized, repeatable processes that create scalable and predictable timelines. When we’re successful, it allows for proper expectation setting for our clients and reliable revenue recognition for the business.</p>
<p><strong>What Will You Be Doing?</strong></p>
<ul>
<li>Strategic Partnership & Stakeholder Engagement - Serve as a key liaison across business units (ex: sales, finance, service, compliance) to assess the operational impact of new products and opportunities, including Special Project and PEP. Influence cross-functional decision-making by providing data-driven insights and recommendations. </li>
<li>Operational & Systems Strategy - Lead the development of scalable, efficient processes by analyzing business needs and translating them into actionable system and operational requirements. Drive alignment between business objectives and technology solutions.</li>
<li>Roadmap Development & Execution - Help drive the managing and updating of a long-term solution roadmap, ensuring initiatives are effectively prioritized based on business impact, operational feasibility, and strategic goals.</li>
<li>Continuous Process & System Optimization - Oversee the ongoing evaluation, analysis, and refinement of system requirements and business processes. Ensure seamless implementation of updates while mitigating operational risks.</li>
<li>Governance & Documentation - Establish and maintain best-in-class documentation standards for internal and external use. Lead the formalization and communication of requirements, ensuring clarity and alignment across teams.</li>
<li>Data-Driven Decision-Making - Leverage data analytics and reporting to identify inefficiencies, emerging trends, and areas for process optimization. Provide actionable insights to drive efficiency, scalability, and business performance.</li>

<li>Proven experience in business operations, process optimization, or systems strategy, preferably in a leadership capacity.</li>
<li>Strong ability to translate complex business challenges into actionable operational and system improvements.</li>
<li>Demonstrated success in managing cross-functional initiatives and influencing senior stakeholders.</li>
<li>Proficiency in leveraging data to drive decision-making and prioritization.</li>
<li>Exceptional communication and documentation skills, with a strong attention to detail.</li>
<li>Drive to lift up team members through collaboration, training, and coordination.</li>
<li>Love of learning and growth, to continue to level-up technical and softer skills.</li>
<li>Stakeholder Management: Collaborate with stakeholders to gather project requirements and provide teams with required input for implementation.</li>
<li>Demonstrated abilities to balance own workload with team needs; as well as to speak up and work with managers to prioritize projects when needed.</li>
<li>The ability to dig deep into the details of one product or process while keeping the big picture in mind.</li>
<li>Continued growth in industry and regulatory knowledge, to support prioritization efforts (balancing efficiency with regulatory requirements).</li>
<li>Experience in the retirement, financial services or employee benefit industries.</li>
</ul>

<li>Understanding of the retirement and employee benefit industry.</li>
<li>Extensive knowledge of ERISA rules and requirements.</li>
<li>Familiarity with contracting, agreements and DocuSign.</li>
<li>Prior experience working in an agile or scrum framework.</li>
</ul>
<p>This role will be based in either the New York City, Austin, or Scottsdale office, and will be part of Vestwell's hybrid in-office operation.<br><br>The expected base salary range for this position is $70K - $80K base. This position is eligible to participate in the Company Bonus Pool and is eligible to receive new hire equity in the Company. <p><span style="font-weight: 400;"><strong>OUR PROCESS</strong><br><br>Our interview process starts the same for every candidate with 1-2 introductory conversations to learn more about your background, interests, and what you're looking for, while also giving you the opportunity to learn more about Vestwell and the team. From there, the process varies by role but typically includes a skills or experience-based assessment, such as a coding interview, portfolio review, or deeper discussion of your relevant experience. Successful candidates then move on to a virtual or in-person interview panel. Before extending an offer, we complete a reference check with a current or former manager and a peer. Throughout the process, we prioritize transparency, clear communication, and minimizing surprises.<br></span></p>
