About the role

•     Provide prompt and professional support to tenants with queries related to maintenance, parking, contracts, cheques, and other property services

•     Respond to tenant and property owner queries regarding parking, maintenance, renewals, and other issues, ensuring timely and professional communication

•     Follow up on Ejari issuance, DEWA connections, and chiller connections

•     Coordinate with contractors and suppliers on behalf of the Property Manager

•     Generate Rental Index results and draft renewal notices within 100 days of lease expiry, completing the full renewal process within 30 days of expiry

•     Assist in the preparation and review of lease agreements and all relevant documentation

•     Maintain accurate records of property details, tenant information, lease agreements, and renewals across all trackers

•     Enter new properties into the CRM and reconcile CRM data with contract details, master sheets, and payment records

•     Receive, record, and track maintenance requests and ensure timely follow-up

•     Prepare checklists for property inspections, move-ins, and move-outs to ensure compliance with company standards

•     Prepare weekly reports on the property portfolio for the Property Manager

•     Assist the Property Manager with any additional administrative tasks required for smooth property operations

Requirements

•     Experience in an administrative role, ideally within property management or real estate

•     Proficiency in Microsoft Office applications (Excel, Word, Outlook) and database management

•     Strong organisational skills and attention to detail

•     Familiarity with property management software, preferably Yardi

•     Previous experience handling tenant enquiries and property documentation
