About the role
Summary/Objective:
The Receptionist position is responsible for performing essential administrative duties related to the applicant flow process in an efficient and timely manner. This role is critical to providing a positive applicant experience through excellent phone etiquette and assistance with the application process in the branch lobby. The Receptionist is often the face and voice of MAU to the public visiting our branch offices or calling for updates.
Position Type/Expected Hours of Work:
This is a full-time position with typical work hours being Monday-Friday 8:00 a.m. to 5:00 p.m. Periodic nights and weekends may be required as needed to cover extended branch hours.
Essential Functions:
- Answer phones in a positive and supportive manner to provide a great applicant or customer experience.
- Assist applicants with starting the electronic application in the MAU lobby or through the web.
- Utilize computer equipment and software – operate daily in the MAU Applicant Tracking System.
- Assist MAU Associates with any questions that might be posed through the MAU lobby in a helpful and timely manner.
- Ensure that the MAU Staffing Team receives accurate and timely phone messages so that a prompt response can be obtained.
- Ensure that MAU customer messages are forwarded to the correct MAU point of contact and follow up to ensure the message was received.
- Assist with input of any application information or hiring documents and ensure they are correctly scanned into the MAU database.
- Ensure that hiring documents are properly identified and scanned into the associates' files.
- Assist with receiving packages and delivering them to the proper personnel in the office.
- Greet applicants.
- Participate in MAU 5S program, if applicable.
- Coordinate daily interviewing and assessment schedules with Staffing Specialists.
- Prepare employee orientation packets for miscellaneous staffing accounts.
- Assemble and maintain custom orientation materials.
- Verify applicant identification and copy if necessary for the applicant file.
- Verify completion of questionnaires/assessments.
- Distribute employee paychecks as instructed.
- Troubleshoot applicant issues with applications, logins, access to payroll systems, etc.
- File personnel files of all active and terminated employees in appropriate files.
- Type, maintain, and file appropriate reports and correspondence as required.
- Prepare/clean-up reception area and waiting areas at the close of day (magazines, papers, etc.).

Required Education and Experience:
- High school diploma OR GED
- 2-years clerical experience
- Customer service skills
- Data entry experience
- Microsoft Outlook and Office proficiency
- Experience handling call volume
- Comfort and professional experience working with the public
Preferred Education and Experience:
- Proficiency in general office equipment and software packages
- Experience in a related industry or human resources
- 2 years of customer service experience
- Experience working in an Applicant Tracking System
Supervisory Responsibility:
There are no direct supervisory responsibilities. The highest performers will be team players who are well-versed in mentoring.

Work Environment or Working Conditions:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands:
This position may require the following to be performed with or without reasonable accommodation.

- Ability to stand/walk for up to 2 hours
- Ability to climb stairs multiple times a day
