About the Role

Beacon Software acquires and grows vertical market software companies across North America. We move fast, run lean, and hold ourselves to a high standard. We’re looking for a Recruiting Coordinator who thrives in a high-volume, cross-functional environment and takes real ownership of the candidate and interviewer experience especially across our Engineering and Product functions.

What You'll Be Doing

  • Own end-to-end interview scheduling for high-volume Engineering and Product roles from initial screens through final-round panels with precision and speed.

  • Partner closely with multiple recruiters across different time zones, acting as the connective tissue between candidates, interviewers, and hiring managers.

  • Manage and maintain our ATS (Ashby or Greenhouse), including requisition setup, candidate status updates, and pipeline hygiene.

  • Coordinate logistics for on-site and virtual interview loops, room bookings, travel coordination, agenda prep, and same-day support.

  • Track recruiting pipelines, proactively flag bottlenecks, and surface scheduling conflicts before they become problems.

  • Draft and send candidate communications, prep materials, and interviewer briefings with care and attention to tone and detail.

  • Contribute to process improvements that help the team scale - i.e. templates, SLAs, scheduling playbooks, and documentation.

  • Support the broader Talent team with offer letter coordination, background check tracking, and onboarding handoffs as needed.

What We’re Looking For

  • Minimum 4 years of experience in a Recruiting Coordinator or similar Talent Operations role you’ve done this before and done it well.

  • Demonstrated experience managing a high volume of complex interview schedules, particularly for technical (Engineering and Product) hiring.

  • Prior experience at a large technology company or high-growth startup; you understand the pace, the stakes, and what good looks like.

  • Hands-on experience with a modern ATS; Ashby or Greenhouse strongly preferred.

  • Proven ability to support multiple recruiters simultaneously, often across different time zones, without losing the thread.

  • Exceptional written and verbal communication skills clear, professional, and warm across candidate and internal-facing interactions.

  • Strong organizational instincts and sharp attention to detail; you catch things others miss.

  • Calm under pressure and comfortable with ambiguity you build structure where it’s needed without waiting to be asked.

  • Bachelor’s degree required.

Bonus Points

  • Familiarity with scheduling automation and workflow tools.

  • Exposure to both technical and business-facing hiring at scale.

  • Experience building or improving recruiting coordination playbooks from scratch.
