About the role
Summary/Objective:
The Staffing Specialist is responsible for processing work orders (requests for personnel) from customers, recruiting, screening, orienting, and hiring personnel to work order specifications. Regularly engaging with the customer to ensure satisfaction is a key component of this role. Additionally, the Staffing Specialist is responsible for counseling Associates and terminating job assignments. The role involves developing and maintaining continuous applicant flow as required by the client, ensuring safe work environments, and ensuring legal compliance in hiring and firing processes.
Position Type/Expected Hours of Work:
This is a full-time position with typical work hours being Monday-Friday 8:00 a.m. to 5:00 p.m. Periodic nights and weekends may be required as needed.
Essential Functions:
- Maintain applicant flow through the development of recruiting sources, processing of candidates within the applicant tracking system, and collaborating with Recruitment Marketing for job ad placement and marketing as necessary.
- Regularly review work orders and interact with customers.
- Pre-screen, interview, hire, counsel, evaluate, discipline, and recommend changes in employee status up to and including terminating the employment status of working Associates.
- Consistently orient/on-board new associates to standards established for each customer.
- Administer company policies and procedures.
- Develop and update new hire orientations for new and current clients.
- Set up new pay and bill rates with management approval within the system.
- Administer assessments as required by clients.
- Receive, process, and analyze work orders from customers.
- Process merit, tenure, or incentive increases.
- Participate in MAU 5S program, if applicable.
- Communicate and resolve with customers any invoice non-payment issues.
- Case management of injured employees, including accident investigation and completion of accident/injury reports and worker’s compensation packets.
- Attend unemployment and workers’ compensation hearings as necessary.
- Maintain excellent customer service by visiting client sites at predetermined times.
- Establish and maintain predetermined levels of candidates in applicant pools to ensure quick turnaround for job orders.

Required Education and Experience:
- Bachelor’s Degree in a related field (communications, business management, human resources) OR a High School Diploma/GED with 4+ years of equivalent experience
- 1-3 years of professional work experience working in a professional business setting
- Experience with Microsoft Office Suite
Preferred Education and Experience:
- HR Certification (PHR or SHRM-CP)
- Experience working with an ATS (Applicant Tracking System)
- Staffing industry, manufacturing, HR, or production supervisor experience
Supervisory Responsibility:
While the Staffing Specialist is required to hire, counsel, and terminate employment for MAU contract Associates at client locations, there are no direct supervisory responsibilities in this role. The highest performers will be team players who are well-versed in mentoring.

Work Environment or Working Conditions:
The working conditions and environments are created by our customer’s facilities both in administrative areas and manufacturing environments. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. Customer sites sometimes include process manufacturing equipment and heavy power industrial vehicles. Environments may vary from non-temperature controlled environments to GMP clean room required.
Physical Demands:
This position may require the following to be performed with or without reasonable accommodation.
- Ability to lift 5-15 lbs on occasion
- Ability to stand/walk for up to 8 hours
- Ability to climb stairs occasionally
- Ability to sit for up to 8 hours
Travel:
This position requires up to 10% travel with minimal overnight requirements.
